Presentation System

The hub for building your on-site program — turn the system on, define your venue and rooms, lay out time slots, auto-plan the grid, browse sessions, and (coming soon) manage keynotes, invited submissions, and sponsors.

Purpose

The Presentation System tab is where you turn accepted content into a real, scheduled program. It is a master switch plus eight sub-tabs that together cover your venue, rooms, time slots, the automatic session planner, the session browser, and the invited-content and sponsor workflows. When the system is enabled, attendee-facing pages (Schedule, Sessions, My Agenda, Venue) come online; when it is disabled, those pages return 404 and only the Settings sub-tab is interactive.

When you use it

Use this tab after acceptances are out and you are ready to organize the on-site (or virtual/hybrid) program. You will typically work the sub-tabs left to right: enable the system and set defaults, describe your venue and rooms, generate time slots, run the planner, then review the resulting sessions.

The eight sub-tabs
  • Settings — master on/off toggle, licensed Zoom hosts, invitation requirements, and default room sizes / slot lengths.
  • Venue & Rooms — your venue details and the room list.
  • Time Slots — the per-day grid of time blocks (manual or auto-generated).
  • Session Plan — the automatic planner that proposes a rooms × slots grid and publishes it.
  • Keynotes — invited keynote management (coming soon).
  • Sessions — a searchable browser of every session and its assigned papers, plus the session suggester.
  • Invited Submissions — the invitation manager for invited content (coming soon).
  • Sponsors — sponsor and exhibition workflow (coming soon).
Three sub-tabs are not built yet

In the current code, Keynotes, Invited Submissions, and Sponsors all render a "coming with Phase 2" placeholder. Only Settings, Venue & Rooms, Time Slots, Session Plan, and Sessions are interactive today.

Walkthrough

    Open the Conference Leadership Console, select your conference, and click the Presentation System tab.

    On the Settings sub-tab, click Enable to turn the system on. Until you do, the other sub-tabs are greyed out and show an "enable in Settings" message.

    Still in Settings, set your Default Room Sizes and slot/paper/keynote lengths — the planner uses these as seed values.

    Go to Venue & Rooms, save your venue, then add each room with its tier and capacity.

    Open Time Slots and click Generate default grid to bootstrap the per-day blocks from your venue working hours, or add slots manually.

    On Session Plan, pick a planning mode, click Run planner to get a proposed grid, then Publish plan to write it onto your sessions.

    Use Sessions to browse, filter, and inspect every session and the papers assigned to it, and to run the session suggester.

Tips

Work the sub-tabs in order
  • Each sub-tab depends on the one before it: rooms need a venue, time slots need venue defaults, and the planner needs both rooms and slots.
  • Disabling the system never deletes data — your venue, rooms, slots, and sessions are preserved and reappear the moment you re-enable.
  • Keep the Settings defaults realistic; the planner's capacity math is only as good as the room sizes and slot lengths you seed it with.
