Author Declarations
Define the declarations and affirmations every paper submission must confirm, including an AI Usage Disclosure item that checks the paper for its disclosure section.
Purpose
Many conferences ask the submitting author to confirm a set of statements on behalf of all authors: that the paper follows the submission policies, that AI use is disclosed, that the authors take responsibility for the content. The Author Declarations sub-tab defines that form once for the whole conference. Every paper submission, in every program, then confirms it on its own Declarations step, just before the file upload. Abstracts and proposals (workshops, tutorials) never see it.
When you use it
- Before submissions open, to publish your conference's declarations.
- When you want the submission wizard to check that each paper includes an AI Usage Disclosure section.
Walkthrough
- 1
Open the Conference Leadership Console, select Settings, and open the Author Declarations sub-tab.
- 2
Click Start from template for a ready set of five statements (submission policy compliance, compliance with the AI policy, AI Usage Disclosure confirmation, author responsibility, research integrity) plus a closing confirmation. Or add your own with Custom statement.
- 3
Click an item to edit its title and statement. Statements can hold links (
[text](https://...)), bullet lists (a line starting with-) and bold text. The template's policy links say(link): replace each with your conference's policy page. Clear Required to make an item optional. Use the arrows to change the order. - 4
Add the built-in AI Usage Disclosure item if your conference requires a disclosure. With Check that the PDF has an AI Usage Disclosure section on, the wizard reads the main PDF when the author uploads it and looks for a section with one of the listed titles. Case, section numbers ("7.", "A.") and punctuation are ignored. You can add, change or remove titles.
- 5
Write the Submitting Author Confirmation if you want one: it is shown last, with its own checkbox.
- 6
Turn on Require these declarations for paper submissions, check the Preview, and click Save.
Tips
This sub-tab has its own Save button; the tab's Save Changes does not save it. An unsaved draft is kept while you visit other sub-tabs.
When the AI Usage Disclosure section check is on, an author whose PDF has no such section, or whose PDF has no readable text (a scan), cannot continue past the upload until they upload a corrected PDF. The same check runs when an author replaces the PDF from Edit Submission.
Authors who already submitted keep the version they confirmed; they are not asked again. If you need them to confirm new wording, email them.
Affirmations a program chair sets in the program's Desk Rejection Policy are still asked on the upload step, independently of this form.
