4.2.1

Submission Settings

Set the required number of authors per submission, and configure your conference's submission categories once (Full Paper, Poster-Only, Workshop… with all their settings) and let every program and sub-program pick them instead of setting them up again.

Purpose

Submission Settings holds two things every program follows: the required number of authors per submission, and the conference's predefined submission categories.

The Required number of authors per submission (default 2) is the fewest authors, the submitting author and co-authors together, a submission needs. In the submission wizard an author with fewer authors gets a warning on the Authors step and can't go on. Every program and Multi-Program starts from this number. A Multi-Program can set its own in the Multi-Program Chair Console (Settings → Submission Settings), and its sub-programs start from that one instead. Any program's chairs can set their program's own number in the PC Console (Settings → Submission Config). Until someone does, a program follows the level above it, including later changes. Set it to 1 to allow single author submissions.

A submission category (Full Paper, Short Paper, Poster-Only, Lightning Talk, Workshop…) carries many settings: pages, archival rule or publication, items, choices, affirmations, blind review, review form and what is asked after acceptance. Predefined Categories are your conference's own ready-made categories. Configure one here (or save one from any program), and every program and sub-program can pick it in its Submission Configuration, then adjust its copy.

Each type also has General settings (items, choices, affirmations, limits, page checks and the license), which every category of that type asks. Programs and sub-programs follow the conference's General settings until their chairs change their own.

Picking copies the category into the program. Changing a predefined category later never changes a program silently: the program's copy shows Updated: review, and its chairs apply or keep their version.

When you use it

  • Before programs are set up, to define the categories they will share.
  • When several programs or workshops should offer the same categories.
  • To choose what new workshops (sub-programs created from approved proposals) start with (see the tip below).

Walkthrough

  1. 1

Open the Conference Leadership Console, select Settings, and open the Submission Settings sub-tab (second, right after Basic Information).

  2. 2

The sub-tab has two sections. In the first, Required Number of Authors per Submission, enter the number and click Save Changes below the sections. It is saved with the other sections Save Changes writes.

  3. 3

The second section, Submission Categories, holds the predefined categories, which save as you go. Categories are grouped Paper, Abstract and Proposal, in the order Full, Short, Poster, Demo, then the others by name; each row shows its pages and archival rule or publication, its version, and how many programs use it.

  4. 4

Below the categories of each group, click Edit next to General Paper settings (or Abstract, Proposal) to set what every category of that type asks: maximum per submitting author, items, choices, affirmations and, for Paper, the archival labels, page checks and license. Click Save: it is saved immediately, and every program that still follows the conference's settings is updated at once. The message lists the programs updated and the ones that changed their own settings and keep them.

  5. 5

Click Add ▾ in a group and start from a built-in template (Full Paper, Poster-Only, Lightning Talk, Workshop…) or Custom…. The same category editor as in a program opens, without a deadline, since dates belong to each program. Click Done: it is saved immediately (not with the tab's Save Changes).

  6. 6

Click a category's name (or Edit) to change it; its version goes up by one. Programs that copied it see Updated: review on their copy. Apply to unchanged copies updates, in one go, every copy nobody has changed since copying; copies a chair has edited are listed and left alone.

  7. 7

Optionally, under Limit per author in the editor, set Maximum per submitting author in this category: how many submissions in this category one submitting author may have in a program. Empty means only the program's type limit applies (Paper 2, Abstract 2, Proposal 1 unless the program changes it); when both are set, the lower one applies. Every program that copies the category gets the limit, and Updated: review carries a change to it.

  8. 8

Archive hides a category from the programs' pickers (copies already made keep working); Show archived lists them again, with Restore and Delete.

Tips

How programs follow the General settings

A new program or sub-program starts with the conference's General settings. While its chairs leave them alone, it takes every later change. Once a chair changes them in the program, the program keeps its own; its General settings then show Use conference settings (take the conference's again) and, when the conference changes, Keep mine. Programs set up before the conference had General settings keep theirs until a chair clicks Use conference settings.

Save one from a program

In any program's category editor, Conference Leadership see Save as predefined: the category (with the program's shared questions and statements it relies on) becomes a predefined category. For a copy, you can update the original or save as a new one.

Where programs pick them

In the Create Program wizard, the Create Program page, Edit Program and PC Console → Settings: from Add ▾, where they are listed first, under Predefined categories. Program Chairs can pick them; only Conference Leadership can change them.

Starting categories for new workshops

In Edit Program of a Multi-Programs program (Workshops, Tutorials…), select Sub-program starting categories: every sub-program created when the Multi-Program Chair approves a proposal (or with Sub-Programs → Create) starts with copies of them.
