Committee

The Committee tab of the Program Chair Console — recruit and manage your program's chairs, area chairs, and reviewers with invite, batch import, profile, and email tools.

Last updated: 2026-06-28

Purpose

The Committee tab is where you build and manage your program's team. It separates Committee Members (Program Chairs, Senior Area Chairs, Area Chairs, Track Chairs) from Reviewers / PC Members, and lets you invite or directly assign people, import them in bulk, view their profiles and reviewer readiness, change roles, email them, and remove them.

When you use it

  • To recruit area chairs, senior area chairs, and reviewers before review starts.
  • To add a single known person, or batch-import a whole list from a CSV.
  • To check who has accepted versus who is still pending, and how complete each member's reviewer profile is.
  • To email one member or a selected group at once.
  • To change someone's role or remove them from the program.

Walkthrough

  1. 1

Open the Program Chair Console, select your program, and click the Committee tab. Use the sub-tabs to switch between Committee Members and Reviewers / PC Members (Full tier); each shows a count.

  2. 2

Use the role filter chips to narrow the list — for example PC Chairs, Senior ACs, Area Chairs, Track Chairs on the Committee sub-tab, or Reviewers, PC Members, External Reviewers on the Reviewers sub-tab — and the search box to find someone by name or email.

  3. 3

Read the table. Each row shows the Member (name + email), Role, anonymized Reviewer # (Full tier), Status (Active or Pending), Readiness and expertise/Match indicators, the Joined date, and per-row actions. Click a column header to sort.

  4. 4

To add a person, click Invite. Choose the Position, then search by email: if the user exists, click Assign Position to add them immediately; if not, fill in their name and details and click Send Invitation to email them a login link (they show as Pending until they accept).

  5. 5

To add many people at once, click Batch Import, download the CSV template, fill it in (email, first/last name, organization, role type), upload it, pick a Default Role for rows without one, review the preview, and click Import Members.

  6. 6

On a Full-tier program you can click Suggest Senior Area Chairs or Suggest Area Chairs to get recommended candidates, then assign from the recommendation modal.

  7. 7

Use the per-row action icons to View Profile, Edit Member (change role type or display name), Send Email, or Remove Member (confirm in the dialog).

  8. 8

To email several people, tick their checkboxes (or the header checkbox to select all in the current filter) and click Group Email — the selected members are added as BCC recipients in the compose window.

Tips

Assign vs. Invite

Assign Position adds an existing AirBalloon user to your committee right away. Send Invitation is for people who don't have an account yet — they get an email and stay Pending until they sign in and accept. The Invite modal tells you which applies once you search for the email.

Watch readiness before assigning papers

The Readiness, expertise, and Match columns show how complete each reviewer's profile is and whether their expertise has been computed for paper-matching. Members marked "Pending" for Match won't match well until their profile is filled in — chase those before running reviewer assignment.

Reviewers need the Full tier

The Reviewers / PC Members sub-tab, the Reviewer # column, the auto-suggest buttons, and reviewer-role assignments are Full-tier features. On Standard or Light conferences they appear disabled with a "Full" badge. Removing a member only revokes their role on this program — it doesn't delete their account.
