Quick CFP

The short call for papers AirBalloon makes for your conference and each program, listed in public CFPs and on the AirBalloon homepage while submissions are open; edit any field, choose where it is listed.

Purpose

Every conference, and every program or sub-program that takes submissions, gets a Quick CFP as soon as it is created: a card with the call's key facts, like the header of a venue on OpenReview.

  • The short name in large type, the full title under it, the conference logo, location and event dates.
  • Submission deadline (with its time zone) and notification date. When the program has more than one deadline still ahead (for example per submission type or category), the card says Multiple Deadlines; a conference card says so when its programs' open deadlines differ.
  • Website, a short summary and instructions.

Nobody has to write it. Each fact comes from your settings (Important Dates, the conference's basic information, the program description), so when a setting changes, the card changes with it. A program without its own dates, location or description uses the conference's. The main program has a card too; while it is listed, the conference card is not listed separately. The card shows no contact email. The logo and colors come from Leadership Console → Settings → Logo & Brand Color; a new logo shows on the list within a minute.

A Quick CFP is listed in Call For Submissions (/cfps) and in Open for Submissions on the AirBalloon homepage while all of these hold:

  • the conference is open, approved, not a sandbox, and its point of contact email is verified;
  • the program is active (for a program's card);
  • a submission deadline is set and has not passed;
  • List in public CFPs is on.

When you use it

  • After creating a program, to check what authors will see in the public list.
  • To write a better summary or add instructions (page limit, template, anonymity).
  • To take a call out of the public list, or off the homepage only.

Walkthrough

  1. 1

    For a program or sub-program, open PC Console → Settings → Quick CFP. For the conference card, or any program's card, open Leadership Console → Settings → Quick CFP and pick the card. A card marked (not created) has no Quick CFP yet; you can still fill it in and save it.

  2. 2

    Read the status box at the top: Listed (with a link to the public page), Not listed yet with what is missing (for example "Set a submission deadline in Important Dates" or "Activate the program"), or Not created yet.

  3. 3

    The fields start filled in from your settings: Title, Subtitle, Summary, Location, Website, Instructions, and the dates with their time zone. Change any of them. A field that differs from your settings shows Edited and a Reset link that brings back the setting's value; emptying a field does the same. The Preview on the right shows the card as it is listed.

  4. 4

    Choose List in Call For Submissions and Show on the AirBalloon homepage, then click Save (Save and create for a card not created yet). The Quick CFP is updated, or created, and appears in Call For Submissions, both the public page and the one inside AirBalloon, once the points in the status box are met. Reset all removes every edit.

Tips

The submit page follows Important Dates

You can edit the submission deadline on the card, but the submit page still closes at the deadline in Important Dates. When the two differ the editor warns you; change Important Dates too, or authors will see a deadline the system does not apply.

Who can edit

Program chairs and co-chairs edit their program's card, Multi-Programs chairs edit their sub-programs' cards, and conference leadership edits every card of the conference. To publish a longer, hand written call, use Write a full CFP; a full CFP replaces the Quick CFP in the public list.
