Settings

The Settings tab of the Program Chair Console — configure your program's info, review process, tracks, submission rules, dates, committee structure, camera-ready, and email templates.

Last updated: 2026-06-28

Purpose

The Settings tab is where you configure everything about your program. It's organized into sub-tabs — Program Info, Review Config, Tracks, Submission Config, Important Dates, SAC/AC, Camera-Ready, and Email Templates — and each sub-tab has its own Save button, so you save one section at a time.

When you use it

  • When setting up a new program before the call for papers opens.
  • To choose your review mode (Direct, Two-Stage Rolling Review, or Instant AI Review) and your committee structure (SAC / AC / Ethics Chair / bidding).
  • To define tracks, submission types, and abstract or withdrawal rules.
  • To set your important dates and customize decision-notification emails.
  • To configure what authors must submit at camera-ready time.

Walkthrough

  1. 1

Open the Program Chair Console, select your program, and click the Settings tab. Use the sub-tab bar to move between sections.

  2. 2

Program Info — edit the program Name, Acronym, Description, Contact Email, and Email Sender Name, and toggle whether this is the Main Program for the conference. Click Save Program Info.

  3. 3

Review Config (Full tier) — pick the Review Mode (Direct Submission is the default), set Minimum Reviews Per Paper, and turn on the committee structure you need: Senior Area Chair (SAC), Area Chair (AC), Ethics Chair, and Enable Reviewer Bidding. Choose a Review Form Template (preview it first), set the Review Commitment Requirement, and configure the embedded Desk Rejection policy. Click Save Review Config to save all of it, including desk rejection.

  4. 4

Tracks — add tracks authors choose from at submission time (type a name and click Add Track, or use the example quick-add buttons), then click Save Tracks. With no tracks, submissions attach to the program directly.

  5. 5

Submission Config — configure submission types, optionally Enable Abstract Submission (with title, text-only vs. with-PDF, and word limits), and set the Withdrawal Policy (inherit the conference policy or override it). Click Save Configuration.

  6. 6

Important Dates — set your program's schedule. The editor adapts to your review mode: Direct and Instant AI use the smart date editor; Two-Stage Rolling Review uses the rolling-cycle editor.

  7. 7

SAC/AC (Full tier) — tune the senior-area-chair / area-chair recommendation algorithm and preferences used when suggesting chairs.

  8. 8

Camera-Ready (Full tier) — choose the Required Materials (poster, slides, video, source files, copyright form, registration receipt), set File Size Limits, and, if video is required, set duration and resolution. Publisher and copyright are inherited from the conference. Click Save Camera-Ready Settings.

  9. 9

Email Templates — customize the decision-notification emails (accept as full / short / poster, and rejection). Click Edit on a template, change the Subject and Body (HTML, Preview, Plain Text), use the listed variables like {{authorName}}, and click Save Template.

Tips

Each section saves on its own

There's no global save or publish step. Every sub-tab has its own Save button and confirms with a toast — so save the section you're editing before switching sub-tabs, or your changes there are lost.

Review mode reshapes the whole console

Changing the Review Mode in Review Config changes which tabs appear in the console and which Important Dates editor you get. Set the review mode early, while your program is still in setup.

Some sections need the Full tier

Review Config, SAC/AC, and Camera-Ready are Full-tier features. On a Standard or Light conference they appear with a "Full" badge and are disabled. Program type can't be changed after the program is created.
