Manual Assign

Select reviewers in the table of your program's committee and reviewers, select papers, and assign them at once. The reviewer gets the review task, a notification and one email about the new papers right away.

Purpose

Manual Assign is the hand made way to assign reviewers. You select one or more reviewers, select the papers they should review, and click Assign papers. The assignment takes effect at once: the reviewer gets a reviewer role in the program if they had none, a review task and a notification. Each reviewer also gets one email listing their new papers, from the program's New assignments template, the same email Assign All Suggested sends: it comes from your program's committee, replies go to the program's contact email, and a copy lands in their Webmail. The result says who was emailed.

When you use it

  • To give a paper a specific expert.
  • To fill papers that Auto Assign left short of reviewers.
  • When your program is small enough that matching by hand is quicker.

Walkthrough

  1. 1

Open Review → Reviewer Assignment → Manual Assign.

  2. 2

Select reviewers. The table lists everyone who can review in this program (or sub-program): its chairs, Senior Area Chairs, Area Chairs, PC Members, Reviewers and External Reviewers. You are listed too, so you can review papers yourself. Each row shows the person's email, organization, role and how many papers they already review here. Check the box of each person to assign, or the box in the header to select everyone shown. Type in the box above to filter by name, email, organization or role. The table shows 10 people a page; the header box selects the people on the page shown, and selections stay when you change page. Members whose Reviews Papers is Off (set in Committee) are hidden; select Show N members with Reviews Papers Off to list them. Assigning papers to one of them asks first, because it turns their Reviews Papers On again.

  3. 3

Select papers. Search by paper number or title, then select the papers. Each row shows the paper's reviewers already assigned, as in Assignment View and Edit: reviewer number with a check (or the review in icon once the review is in) and the name below; hover a chip for the name and email. It also marks papers a selected reviewer is already assigned to or has a conflict with. With several reviewers selected, the mark shows how many of them. The table shows 10 papers a page, paged the same way as the reviewers. Click a paper's title to read its Submission Details in a window over the dimmed page. Drag the window by its title bar anywhere on the screen, and close it with the × button, Esc, or a click outside it. The window is for reading: Edit, Email Authors and Delete are not in it (open the paper in a new tab from the title bar for those), and links in it open in a new tab. Prev and Next in the title bar (with the paper's place, for example 3 of 42) move to the previous or next paper of the table, in its current order and across all its pages, without closing the window. The ← and → keys do the same.

  4. 4

Click Assign papers. Every selected reviewer is assigned to every selected paper. A summary lists, per reviewer, what was assigned, what was already assigned, and anything that was blocked.

Tips

Max papers

The Assigned column shows each person's papers in this program, every type, and their limit (for example 7 / 8): their own Max Papers from Committee, else the program's Max Papers Per Reviewer. Assigning past the limit asks first; click Assign anyway to go ahead. Auto Assign then gives them no more papers.

Conflicts

A soft conflict (for example the same institution) stops the assignment and lists the papers. Select Override soft conflicts and assign again to go ahead. An author can never review their own paper; that conflict cannot be overridden.
